Welcome to Coach Stop Inn, LLC (“Coach Stop Inn”, “we”, “us”, “our”). We value privacy, simplicity, and a seamless guest experience. Our self check-in process is designed to give Guests (“you”, “Guest”) flexibility and a sense of seclusion, while ensuring we are always available if you need us.


By accessing our website or completing a reservation through our booking system (including via Cloudbeds), you agree to the following Terms & Conditions.


1. SMS Communications (Opt-In)


Consent & Purpose

By providing your phone number and completing a reservation, you consent to receive SMS text messages from Coach Stop Inn related to your stay. These messages include booking confirmations, check-in instructions, door codes, stay-related reminders, and service updates. Message frequency varies based on your reservation status and guest needs. 


Terms & Rates

Message and data rates may apply. Consent to receive text messages is not a condition of purchase or a requirement to stay at the Inn; however, opting out may require alternative check-in arrangements.


Opt-Out & Help

You may opt out of SMS communications at any time by replying STOP to any message you receive. You will receive one final confirmation message acknowledging your opt-out. For assistance or information, reply HELP or contact us at info@coachstopinn.com.


Service Providers & Data Processing 

To facilitate your reservation and provide guest communication services (including SMS/text messaging), we utilize a third-party hospitality management system (Cloudbeds). By agreeing to these terms, you also acknowledge the Booking Engine Privacy Policy and Terms of Service which govern the secure processing of your booking data and communications.


Privacy & Data Sharing (SMS Compliance)

We value your privacy. Mobile phone numbers collected for the purpose of SMS opt-in and guest communication will not be shared with third parties or affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.




2. Reservations & Payments


  • A valid credit card is required to secure all reservations.
  • A 50% deposit is charged at the time of booking.
  • The remaining balance is automatically charged on the day of check-in using the card on file.
  • All payments are processed through PCI-compliant systems.


Failure to provide valid payment may result in cancellation of your reservation.


All reservations are managed through our secure third-party hospitality management system (Cloudbeds). By booking with us, you acknowledge that your personal and payment information is stored and processed by Cloudbeds in accordance with their Privacy Policy and Terms of Service. To learn more about how we use your contact information for stay-related communications, please see Section 1.


3. Cancellation Policy


As a small inn, cancellations have a significant impact on our operations.


  • 14+ days before arrival: Full refund of deposit, minus a $25 service fee per room.
  • Within 14 days of arrival: Deposit is refundable (minus $25 fee) only if the room is rebooked.
  • If the room is not rebooked, the full reservation amount is due.
  • Same-day cancellations, no-shows, and early departures are charged in full.


If a refund or adjustment is granted, it constitutes a resolution of the matter. By accepting such resolution, Guest agrees not to initiate a payment dispute or chargeback for the resolved amount.


We recommend guests consider travel insurance for unforeseen circumstances.


4. Check-In / Check-Out


  • Check-in: 4:00 PM (EST)
  • Check-out: 11:00 AM (EST)


We offer a self check-in experience. Guests are responsible for reviewing check-in instructions sent via email and/or SMS prior to arrival. We are available by phone if assistance is needed.


Early check-in and late check-out may be available upon request, subject to availability and operational needs. Requests should be made in advance, and additional fees may apply. Availability cannot be guaranteed.


5. Age Requirement


Guests must be 21 years or older to make a reservation. The reserving guest is responsible for all occupants of the room.


6. Occupancy Limits


Each room has a maximum occupancy limit based on licensing and safety requirements. Guests may not exceed the stated occupancy for their specific room at any time.


7. Quiet Hours & Guest Conduct


To ensure a comfortable experience for all guests:


  • Quiet hours are observed from 10:00 PM to 6:00 AM
  • Guests are expected to conduct themselves respectfully and avoid excessive noise or disturbances
  • Children must be supervised at all times
  • We reserve the right to ask guests to modify behavior or vacate the property without refund if these standards are not met


8. Events & Gatherings


Only pre-approved events or gatherings are permitted on the property.


9. Smoking Policy


Coach Stop Inn is a completely smoke-free property, including:


  • Guest rooms
  • Common areas
  • Decks and patios
  • Electronic cigarettes and THC products


A minimum $400 cleaning fee will be charged for any evidence of smoking.


10. Pet Policy


We are unable to accommodate pets on the property.


11. Parking


Off-street parking is available for registered guests.
We are unable to accommodate
RVs, trailers, or campers.


12. Damages & Missing Items


Guests are responsible for any damage to property or furnishings beyond normal wear and tear.


  • Damages must be reported promptly
  • Repair or replacement costs will be charged to the card on file
  • An itemized invoice will be provided


13. Lost or Left Items


Coach Stop Inn is not responsible for lost, stolen, or forgotten items.


14. Taxes


  • Maine State Lodging Tax: 9%
  • Maine State Sales Tax (food & beverage): 8%


All applicable taxes will be added to your reservation and purchases.


15. Limitation of Liability


To the fullest extent permitted by law, Coach Stop Inn is not liable for:

  • Personal injury, loss, or damage to guest property
  • Delays, cancellations, or disruptions caused by weather, travel conditions, or third parties
  • Guest failure to follow provided instructions (including check-in procedures)


16. Indemnification


Guest agrees to indemnify and hold harmless Coach Stop Inn, its owners, and staff from any claims, damages, or liabilities arising from:


  • Guest actions or negligence
  • Violations of these Terms & Conditions
  • Damage to property or injury to others caused by Guest or their party


17. Force Majeure


Coach Stop Inn shall not be held liable for failure to perform due to events beyond our control, including but not limited to:


  • Severe weather
  • Natural disasters
  • Power outages
  • Government actions
  • Travel disruptions


18. Changes to Terms


We reserve the right to update these Terms & Conditions at any time. Continued use of our website or services constitutes acceptance of any changes.
